The ideal candidate will provide a professional and welcoming front-of-house presence, fostering positive relationships with clients, vendors, and internal staff, while primarily overseeing accounts payable and payroll functions to ensure efficient day-to-day financial operations. If so, look no further for your next role!</p><p>This newly created position offers significant potential for career advancement: as the successful candidate will help define and expand the scope of the accounts payable and payroll processes within our organization, with opportunities to further develop skills in accounting and finance.(Optional)</p><p></p><p>Key Responsibilities</p><ul><li>Receive, verify, and process incoming invoices for approval and payment and ensure coding aligns with budgets and internal financial policies.</li><li>Prepare and execute payment runs (EFTs, wires, cheques) in accordance with payment terms and cash flow guidelines.</li><li>Maintain accurate vendor records and contracts in Accurates systems (QuickBooks and Autotask), onboard new vendors, and respond promptly to vendor inquiries.</li><li>Build trust with vendors through timely payments and clear communication.</li><li>Track and reconcile company credit card transactions and employee expense reports, ensuring receipts and coding are complete. Monitor spending and flag <span >unusual/unauthorized</span> expenses.</li><li>Maintain product and inventory records in QuickBooks and Quote Manager. Track purchase orders, reconcile physical inventory in collaboration with the Procurement Advisor, and flag discrepancies proactively.</li><li>Collaborate with the Finance Team to ensure month-end close processes are not delayed by outstanding AP items. Provide support to other admin or accounting team members during busy periods.</li></ul><ul><li><ul><li>Work with Director to monitor cash flow</li><li>Monitor aging reports and cash requirements</li><li>Reconcile payments and expenses with bank transactions on a weekly basis</li><li>Manage and maintain AP email inbox</li></ul></li></ul><ul><li>Prepare and process bi-weekly payroll in Dayforce, including new hires, salary adjustments, vacation, wellness time, and other deductions or benefits in compliance with Government regulations and company policies.</li><li>Enter journal entries in QuickBooks for payroll and employer-paid benefits.</li></ul><ul><li>Collaborate with HR and Admin to coordinate employee onboarding, including access setup and equipment tracking. Ensure proper documentation and account deactivation for offboarding.</li><li>Process Accounts Payable transactions with accuracy and efficiency</li><li>Administer payroll in compliance with Government regulations and company policies</li><li>Prepare and reconcile Accounts Payable reports using Microsoft 365 applications</li><li>Maintain organized records and support audits as required</li><li>Collaborate with internal teams to resolve discrepancies and ensure smooth operations</li></ul><p></p><p>The Qualifications</p><p>Youll be a good fit for this role if you have the following traits and qualifications:</p><p></p><ul><li>Warm, professional demeanor with strong relationship-building skills</li><li>Highly attentive to detail and proactive in anticipating (business?) needs</li><li>Proficiency in Microsoft 365 (Outlook, SharePoint, Word, Excel, Teams)</li><li>Proficiency in QuickBooks online</li><li>Minimum 2-3 Years experience in an accounts payable and/or payroll position, preferably in a service-oriented environment</li><li>Knowledge and understanding of payroll regulations, remittances, and reconciliation processes</li><li>Familiarity with Dayforce and Autotask is considered an asset</li><li>Valid drivers license</li></ul><p></p><p>Educational Requirements</p><p></p><ul><li>Diploma or Degree in Accounting, Finance, Business Administration, or a related field</li><li>Additional certifications such as Payroll Compliance Practitioner (PCP) or Certified Payroll Manager (CPM) are considered a strong asset</li></ul><p></p><p>Why Work Here?</p><p>We offer competitive salaries, health and wellness benefits (including a health spending account), a fitness allowance, and flexible hybrid work optionsbut so do a lot of other companies.
