Job DescriptionIn direct consultation with program leadership, the Clinical Lead, Document Management, will coordinate an organization-wide system to promote compliance with document development, approval, implementation, evaluation and review.
Accountabilities:
- Provide expertise, coordination and support in the development, review and renewal of policies, order sets and medical directives
- Maintain the document system by performing appropriate uploads and ensuring data integrity
- Work collaboratively with the vendor to ensure integrity and timely access to order sets
- Work with Risk Management to provide timely access to current and archived information
- Liaise with Information Services team regarding problem identification and resolution, and future development including transition of order sets to new hospital information system
- Leads the stakeholders through the document development process
- Utilize supportive literature and best practice guidelines to guide document development
- Ensure that procedures follow legislation and regulation
- Ensures organizational document approval and dissemination
- Oversees, supports and provides expertise and advice on the document management system including process expertise for the development, approval, implementation, updating and retirement of policies
- Corporate site administrator for PolicyStat at Osler
- Chair of clinical practice review subcommittee
- Clinical lead for order set development and management including liaising with developers, organizing order set committee meetings, testing functionality and collaborating with stakeholders (including Pharmacy, IS, vendor, etc.)
- Lead and monitor document review to support Accreditation including policies, order sets and medical directives
- Develop, revise and communicate the guidelines and reference material for document development, review, updating, approval, implementation and evaluation
- Develop/revise the templates, supporting material and corresponding instructions for use, and ensure their integrity
- Develop training material and provides training related to the technological impact on clinical workflow and/or clinical process
- Support training and education for development, revision and approval of policies, order sets and medical directives
- Maintains the evolution of document management system through evaluation and improvements including monitoring the system from a quality assurance and continuous improvement lens
- Prepares recommendations for improvements
- Participate in formal service and system design/planning activities as necessary
- Lead the review to create a new process for the development, review, approval and evaluation of medical directives at Osler
- Utilize data to provide insights for system evaluation and process improvement
- Undergraduate degree
- Minimum of five years experience in an acute health care facility within a professional clinical role associated with patient care and an understanding of clinical workflow and clinical processes (e.g., nurse, RRT, PT, OT, pharmacist)
- Recent experience working on quality improvement initiatives
- Active participation in organization committee work
- Recent electronic document management experience in a health care setting preferred
- Recent experience in policy development, coordination and document management preferred
- Proficient in advanced Microsoft Office skills (Excel, PowerPoint, Visio)
- Proven ability to work independently and be self-directed with the ability to perform duties in a professional and courteous manner
- Proven time management and prioritization skills
- Demonstrated project management and problem solving skills
- Demonstrates excellent interpersonal, verbal, written/editing and presentation communication skills
- Demonstrates ability to work effectively with all levels of staff
- Demonstrates ability to facilitate, coach and educate others
- Demonstrates keen attention to detail and is results oriented

Hours: Currently days, Monday to Friday (subject to change in accordance with operational requirements)

Minimum: $88,413.00
Maximum: $110,526.00
