This is an opportunity to join a purpose-led team focused on creating sustainable workforce outcomes, not just for today, but for the future of the communities they serve. </p><p><strong>Position Title:</strong> <strong>Recruitment & Contract Coordinator</strong></p><p><strong>Location:</strong> Hybrid in Burlington, ON (3 days in-office, 2 days remote)</p><p><strong>Hours:</strong> Full-time, Monday to Friday, 9:00 am 5:00 pm</p><p><strong>Reporting To:</strong> Executive Partner</p><p><strong>ROLE SUMMARY:</strong></p><p>We are hiring a <strong>full-time, tech-savvy administrator</strong> to support the Canadian recruitment desk and enable scalable team growth. You'll directly manage the <strong>backend of contract administration</strong>, onboarding, client check-ins, and candidate communication, creating more bandwidth for the recruitment team to focus on sourcing and strategic client development.</p><p><strong>Responsibilities:</strong></p><ul><li>Supporting client onboarding and contractor lifecycle management</li><li>Drafting and tracking contract proposals and renewals</li><li>Owning communication cadences with clients and candidates to reduce churn</li><li>Ensure internal stakeholders to ensure smooth handoffs and timely updates</li><li>Leveraging automation tools and AI (e.g. ChatGPT) to improve communication and workflow efficiency</li><li>Become a <strong>liaison between sourcing and sales</strong>, to ensure delivery consistency. </li><li>Continuous improvement current workflows to create more efficiencies to scale</li></ul><ul><li>Support with contracts, client communication and follow-ups</li><li>Assists with internal operations, client processes and billing tasks</li><li>Manage backend processes and work with cross-functional team to ensure consistency and high-end client delivery.</li></ul><ul><li>Implement and maintain automated systems for invoicing, timesheets, status updates, contract tracking and renewal</li><li>Optimize use of Bullhorn ATS for pipeline and compliance management</li><li>Delegate and implement RFP tracking processes to meet deadlines (often on Fridays)</li><li>Create onboarding packets and hiring documentation that reflect evolving company needs</li></ul><p><strong>REQUIRED QUALIFICATIONS + COMPETENCIES: </strong></p><ul><li><strong>2+ years of experience in recruitment coordination, contract administration, and or staffing operations</strong></li><li>Experience supporting government contracts, RFPs, or regulatory documentation is a strong asset</li><li>Proficient in Excel, Google Suite, and ATS platforms (Bullhorn is strongly preferred)</li><li>Demonstrated ability to work independently and manage multiple workflows</li></ul><ul><li>You must be comfortable working with <strong>automation tools and cloud-based systems</strong>, with a willingness to learn and improve workflows over time.</li><li>Our team values <strong>accountability, ownership, and a positive mindset</strong>.</li></ul><ul><li>Strong written/verbal communication skills</li><li>Organized, detail-oriented, and comfortable in a high-urgency environment</li><li>Communicates proactively and transparently</li></ul><ul><li>Owns their mistakes and learns from them</li><li>Thrives in a culture of <strong>direct, no-nonsense communication</strong></li><li>Embraces continuous learning and growth</li><li>Exposure to staffing firms or professional services</li><li>Flexibility and a team-first mindset, with a willingness to support tasks or projects beyond core responsibilities in a dynamic, collaborative environment.</li></ul><p><strong>COMPENSATION</strong></p><ul><li><strong>Base Salary:</strong> $60,000 $65,000 CAD</li></ul><p><strong>PERKS + BENEFITS</strong></p><ul><li>Paid time off</li><li>Access to training and professional development</li><li>Culture of continuous learning and mentorship</li><li>Hybrid schedule with downtown Burlington office access</li><li>Involvement in high-impact government contracts with opportunities to scale</li></ul><p><br /></p></p></p>Create Your Resume First
